MealTraK — PRIVACY POLICY

MealTrak assists users in calculating per‑diem meal deductions and tracking trip activity. MealTrak does not provide tax advice, does not guarantee audit outcomes, and does not replace the mandatory recordkeeping required by tax authorities. Users are responsible for maintaining their own detailed logs, receipts, and supporting documentation as required by law.

1. Introduction

  • MealTrak (“the App”) is developed by MealTrak Technologies (“we”, “us”, “our”). This Privacy Policy explains how we collect, use, store, and protect your information when you use the MealTrak mobile application.

  • By using MealTrak, you agree to the practices described in this Privacy Policy.

2. Information We Collect

2.1 Information You Provide

We collect the following information when you create an account or use the App:

  • Email address (required for login and authentication)

  • Essential trip data:
    - Trip Number
    - Start time and country
    - Border crossing times and direction
    - End time and country
    - Farthest province/state
    - Trip switch status
    - Manually entered location information (when GPS is disabled)

2.2 Information Collected Automatically

  • When enabled by the user:
    - GPS location data used only for determining country, border crossings, and farthest point traveled.

  • When the app crashes:
    - Crash logs and diagnostics collected by Firebase Crashlytics, including:
    - Device model
    - OS version
    - App version
    - Stack traces
    - Installation identifiers

2.3 Information We Do NOT Collect

  • MealTrak does not collect:
    - Names
    - Phone numbers
    - Addresses
    - Photos or receipts
    - Income or pay information
    - Notes or descriptions
    - Analytics or behavioural tracking
    - Advertising identifiers
    - Cookies or tracking pixels
    - Financial or payment data

3. How We Use Your Information

  • We use your information only for:
    - Account authentication
    - Cloud backup and sync of essential trip data
    - Crash recovery and stability improvements
    - Correct per‑diem calculations
    - Country and border identification
    - Farthest point determination

  • We do not use your data for advertising, profiling, or marketing.

4. How Your Information Is Stored

  • Your data is stored in:
    - Firebase Authentication (email only)
    - Firebase Cloud Firestore (trip data only)
    - Firebase Crashlytics (crash logs only)

  • All data is encrypted in transit (HTTPS) and at rest (Google Cloud encryption).

  • Local settings (logging mode, border mode, home base, etc.) are stored only on your device.

5. Location Data

5.1 When GPS Is Enabled

  • The App collects GPS coordinates to determine:
    - Country
    - Border crossings
    - Farthest province/state

5.2 When GPS Is Disabled

  • The App collects no GPS data. However, user‑entered location information is stored in the cloud as part of the trip record.

6. Data Sharing

  • We do not sell, rent, or share your data with third parties. Firebase acts as a data processor and does not use your data for advertising.

7. Data Retention

  • Essential trip data stored in the cloud is retained for up to 7 years to support CRA and IRS audit requirements. After 7 years, this data is automatically purged from our systems.

  • You may request deletion of your account or cloud‑stored data at any time by contacting us at support@mealtrak.ca or visiting mealtrak.ca/delete-data
